Our Guide To Hot Desking

Our Guide To Hot Desking

Hybrid workspaces have thoroughly delivered on the promise of a flexible and functional workspace that maximizes efficiency, safety, productivity, and employee retention. Now, perhaps it’s time to consider adding more elements of hybrid working to your company’s options. If you are looking to go to the next level of the modern office, we would suggest considering whether adding hot desking to your furniture setup might be advantageous.

What Is Hot Desking?

Hot Desking is a workspace furniture arrangement where employees can use any available desk to do their work for that day, or for their shift. Desks are set up with the basics so that anyone can get started working with minimum set up time. This level of flexibility can make the best use of space and ensure that you don’t require more real estate than is necessary. This is especially helpful during times of growth and transition, and for most hybrid workspaces where employees mix working from home with working at the office.

Hot Desking For A Hybrid Workspace

With hybrid work becoming the norm, it has presented the issue of wasted space. An employee who is only in the office for 2 or 3 days of the week still typically has their own desk space sitting unused. Could that space be better served by making it available to other hybrid workers? It is worth noting that hybrid workspaces can absolutely benefit from hot desking, but it isn’t the only situation where it is helpful. Some companies may have employee presence ebb and flow for many different reasons and hot desking is the ideal solution for those fluctuations, and many positions simply don’t require having their own office. Call centers are a prime example of long term use of successful hot desking.

What Should Be On A Hot Desk?

Ideally a hot desk will have everything necessary to complete the work required plus the ergonomic features that ensure employee safety and well-being.

  • Computer, Mouse, and Monitor: The basic necessities for each station.
  • Chargers and Dongles: Ensure that employees can stay charged up.
  • Accessible Power Outlets: Make sure employees can access charging and outlets for other purposes.
  • Ideal Workspaces for the Required Job. This may include sit/stand desks or accessories, ergonomic chairs that can be easily adjusted, and so on.
  • Ergonomic Features. This is our specialty. Be sure to ask how we can help you keep your employees safe, happy, and productive with sensible ergonomic features.
  • Storage for Personal Belongings. You can opt for separate employee storage lockers or have options at each desk.
  • Helpful Desk Accessories. If the work requires reading, for example, then stands and other desk accessories will be helpful. You may have paperwork flow that needs to be accounted for as well. As with the storage items, they can be left at each desk or centralized and picked up at the start of their shift.
